Job Summary
We are seeking a dynamic and detail-oriented Bilingual Documentation & Compliance Specialist to join our team! In this vital role, you will ensure that all company documentation, regulatory compliance, and communication are accurately maintained and effectively managed in both English and another language. Your proactive approach will support smooth office operations, uphold compliance standards, and enhance our bilingual communication efforts. This position offers an exciting opportunity to contribute to organizational excellence while utilizing your language skills and administrative expertise.

Duties

  • Prepare, review, and proofread a variety of documents, reports, and correspondence in both English and the second language to ensure clarity, accuracy, and consistency.
  • Maintain comprehensive compliance records, ensuring adherence to legal, regulatory, and internal standards across all departments.
  • Manage office documentation workflows, including data entry, filing, and record keeping using tools like Microsoft Office and Google Workspace.
  • Support office management tasks such as calendar management, appointment scheduling, and coordinating meetings with attention to detail.
  • Handle incoming calls using multi-line phone systems with professional phone etiquette; direct inquiries appropriately in both languages.
  • Assist with onboarding new employees by preparing necessary documentation and providing bilingual support as needed.
  • Collaborate with various teams to streamline communication processes and improve documentation procedures for efficiency.

Experience

  • Proven experience in office management or administrative roles with a focus on documentation or compliance tasks.
  • Demonstrated bilingual proficiency in English and another language; strong verbal and written communication skills are essential.
  • Prior clerical experience including data entry, filing, proofreading, and customer support in a fast-paced environment.
  • Familiarity with office software such as Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace (Docs, Sheets), and basic computer literacy skills.
  • Experience working with multi-line phone systems and providing excellent customer service via phone or email.
  • Knowledge of office procedures including calendar management, time management techniques, and organizational skills.
  • Previous experience in healthcare or dental reception is a plus but not required; strong attention to detail is mandatory for success in this role.
